Admin automation: do each job once
Admin automation means working from what you already use, even if that's just a spreadsheet and your bank account, so each piece of admin is done once. It is not about replacing staff or buying a new platform. It is about stopping the same name, date or payment being typed into two places. It works for offices, trades and service firms. My first client was a nursery, so the examples below come from nursery admin.
Admin often typed twice
- Enquiries sitting in an inbox: a web form or Facebook message is copied by hand into a list. At the nursery, this was the waiting list.
- Same details typed twice: a customer's details are entered in one record and again in another, such as a spreadsheet and the invoice.
- Chasing the invoice again: overdue invoices are chased by hand each month.
- Documents to chase: the same forms are asked for again. At the nursery, these were funding declarations.

For nurseries, admin around funded places differs by nation: England (Free Childcare for Working Parents / 30 hours), Wales (Childcare Offer for Wales, Flying Start), Scotland (funded early learning and childcare (ELC)) and Northern Ireland (Pre-School Education Programme). The automation only changes how your own records are kept. It does not change how your council or funding body works.
