Invoicing from booked hours, without typing them twice
If you bill by the hour, the hours are often kept in one place and the invoice is made in another, so someone types them twice. This happens in offices, trades and service firms. My first client was a nursery, where part of each child's hours are funded by the council and parents pay the rest. This page uses that as the example.
Why hours-based invoices go wrong
- Booked hours are in one place (a spreadsheet or booking system), but invoices are made somewhere else or by hand.
- When someone else pays part of the bill, such as nursery funded hours, the split is done by hand on each invoice.
- Changes (a changed booking, a new rate or code) must be updated in both places.
What I do
I'm Garry. I build automations so you do things once, not twice. I'm based in Bury. I can build a tool that makes the invoice from the spreadsheet or system that holds the hours, so the hours are entered once. I do not set funding rules or rates; for a nursery, those come from the council or funding body.
The nursery example: funded hours by nation
- England: Free Childcare for Working Parents (the "30 hours") and the 15-hour entitlements.
- Wales: the Childcare Offer for Wales (nursery education plus funded childcare) and Flying Start childcare.
- Scotland: funded early learning and childcare (ELC).
- Northern Ireland: funded places under the Pre-School Education Programme.
How it works
Message me on WhatsApp. I usually reply within 10 minutes. You get a straight answer. From £150. Handed over working. If it stops doing what we agreed in the first 30 days, I fix it free.

Questions
What is invoicing from booked hours?
It is making each invoice from the hours you already record, so the hours are typed once. In a nursery, it also means splitting funded hours from the hours and extras that parents pay for.
Why do hours get typed twice?
It is often because the booked hours are held in one place, such as a spreadsheet, and the invoice is made in another, so the same hours are entered in both.
Is this only for nurseries?
No. A nursery was my first client. The same kind of tool can work for any small business that bills by the hour, such as offices, trades and service firms.
Can Once, Not Twice set funding rates or check eligibility?
No. For nurseries, funding rates and eligibility come from the council or funding body. I only build the tool that takes the hours and makes the invoice.
What are funded hours called in Scotland, Wales and Northern Ireland?
In Scotland it is funded early learning and childcare (ELC). In Wales it is the Childcare Offer for Wales and Flying Start. In Northern Ireland it is the Pre-School Education Programme.
How much does it cost?
From £150. I can build a tool that makes the invoice from the hours you already record.
